An event is the planned activity that you can create for your organization. You can create new events specific to a contact, company, deal and case.
For any event, you can add its subject, the date for the event, and the place of an event. You can create one or more events in any of your calendars. As an account owner and admin, you can create an event in calendars that are created by other users also.
Click on Calendars tab as below.
In the right side section, you can see the list of your calendars and calendars of other users.
Note: When you login as a normal user, you can see others’ calendars, depending on the permissions assigned by the creator of that calendar.
Create an event for a specific calendar
Click on the arrow available corresponding to the calendar name. Select Create event on this Calendar option.
The Event | Task window appears as below.
On the above screen, you can also create a new task.
By default, the Event link is selected. You need to specify following details of an event.
Write the title of an event that reflects the purpose of an event.
Place of an event
Write the name of place where event is to be scheduled.
Date and Time of an event
Select the start date and end date of an event. Select All Day option, if event is to be scheduled for full day.
Select this option, if you want to schedule events that repeat on daily, weekly, monthly or yearly basis. Select the option whether the event is of recurrence type or not. To make an event as recurring, select one of the below options:
- Daily: Select this option if you want that event to repeat on daily basis.
In Every field, specify the number of days after which the event occurs. For example, specify 3 if the event repeats after every 3 days.
- Weekly: Select this option, if you want to repeat an event on weekly basis.
In Every field, specify the number of weeks after which the event occurs. For example, after every 1 week, the event occurs. You can also select one or more days of a week on which event occurs.
- Monthly: Select this option, if you want to repeat an event on monthly basis.
In Every field, specify the number of months after which the event occurs. For example, after every 1 month, the event occurs. You can select an option whether event occurs by day of month or by day of week.
- Yearly: Select this option, if you want to repeat an event on yearly basis.
- In Every field, specify the number of years after which the event occurs. For example, after every 1 year, the event occurs.
- To setup how the event ends, you have three options:
- Select Never option, if you want that event will never stop.
- Specify the number of occurrences after which the event stops.
- Select the date on which the event stops.
Write the description of the new event.
You can set the reminder that you can receive through SMS or Email. Select the type of reminder that can be SMS or Email, and specify the time in minutes, hours, days and weeks. You get the reminder before the specified time of an event occurrence, based on your reminder settings.
Click on Add another button to set multiple reminders.
Write the name of participants whom you want to include in the event. By default, you can see the name of user whose calendar you have selected to add an event. As you write first three letters of participant name, the list of related names is displayed.
The participants can be contacts, companies, deals and users. When you see the details of any participant, you can see the associated event, in the right sidebar of that details page.
If you do not want to add this event for the selected calendar, you can select another calendar from Calendar drop-down list.
Save and See Event in a Calendar view
Click on Save button and the event is added for the selected calendar. In a calendar view, you can see that the new event is added. Since each calendar can have its own color legend as you can see in the right sidebar; each event of a calendar is also highlighted in the same color as of its calendar. When you see multiple events on the same day in the calendar view; these can have different colors because these may belong to different calendars, though scheduled for the same day.
Create an Event Directly in an Opened Calendar View
You can also create an event for a specific date, from the calendar view. Whether you have selected one or multiple calendars, click on any date and you can add a new event. While adding details of the new event, you see an option to select a calendar to which you want to add this event.
Click on any day in a calendar view and the Event | Task window appears.
By default, the Event link is selected. In When field, you can see that the starting date as the date for which you want to scheduled an event. You can change the start and end date of an event. If you change the start and end date of an event, the event is added to new changed date.
Create an Event from Quick Links available in Top Navigation Bar
Click on create an event icon that is available in the top navigation bar, to create a new event. The Event | Task window appears. You can add the details of an event such as title, scheduled date and time, participants and calendar name.
